Aurico Electronic I-9

 

 

 

The I-9 form was developed for the purpose of verifying that individuals are legally eligible to work in the United States.  The US government requires employers to keep a copy of the form on file for every employee.  Oftentimes the I-9 is filled out incorrectly, which can cause problems if the company is audited by the Department of Homeland Security (DHS)/Immigration and Customs Enforcement (ICE).  Employers may be fined up to $1,100 for each employee whose I-9 form is not completed correctly.  Employers who knowingly employ unauthorized workers may suffer penalties up to $11,000 per violation and if continue in a similar pattern can be fined as much as $3,000 per employee and/or six months in prison.

 

Aurico offers a completely electronic version of this form online.  This form is displayed on the Aurico I-9 website and cannot be completed or saved if it is not filled out completely and correctly.  The form is finished off with a digital signature by the employee and the digital signature of the employer.  These signatures are held on a secure server and permanently attached to the document.  The electronic signatures are legally valid and accepted by the Department of Homeland Security (DHS) and the Social Security Administration (SSA).  Aurico I-9 also has the capability of storing all your existing employees’ forms in our server.  In addition to electronic storage and signature capabilities, I-9 management systems have built in edits that reduce errors.  These edits make a big difference, particularly in multi-location environments. 

 

Additionally, our website is also integrated with DHS/SSA Basic Pilot Program which searches government databases to verify the eligibility of your employee to work in the United States.  The Electronic Aurico I-9 process reduces the usual 24 hour turnaround time to 3-5 seconds.  As with the manual I-9 Basic Pilot Program verification process, the electronic Basic Pilot Program must be completed within three working days from the date the I-9 is signed and a signed Memorandum of Understanding (MOU) must be on file.  Neither the manual nor electronic I-9 program can be run if a job offer has not been made and accepted.
